Welcome to Shrewsbury RUFC: How the Club Works
Shrewsbury RUFC is a community-driven, volunteer-led rugby club with a commitment to inclusion, development, and sustainability. To keep the club thriving, we operate a structured governance model made up of Principal Officers, Executive Committee members, and a range of Sub-Committees.
This section explains how our club is structured, how decisions are made, and how members, parents and supporters can get involved.
1. Who Runs the Club?
The club is led by:
Principal Officers
- Club President
- Past President
- Club Chairman (chairs committee meetings)
- Honorary Secretary
- Honorary Treasurer
Executive Committee Members
- Vice-Chair
- Junior Chair
- Squash Club Representative
- RugbySafe Officer
- Facilities and Grounds Lead
- Club Captain
This group meets monthly (second Monday of each month, 7pm at the clubhouse). They make key decisions based on updates from the Sub-Committees.
2. What are the Sub-Committees?
To help deliver on the club’s vision, the Executive is supported by the following Sub-Committees:
Playing Committee – Covers 1st XV, 2nd XV, Women’s XV, Touch and Colts. Responsible for player recruitment, player development, availability, fixture compliance (GMS/matchcards), and collaboration with M&Js.
M&J Committee – Responsible for the full operation of the Minis & Juniors, including coach support, safeguarding, fixtures, and tours.
Facilities Committee – Oversees maintenance, safety, a five-year improvement plan, and all volunteering efforts across the club.
Finance Committee – Manages budgeting, financial planning, sponsorship, membership schemes, and ticketing.
Events Committee – Responsible for club F&B, events programming, social media, and promotional content.
3. What Do the Sub-Committees Do?
- Each Sub-Committee is required to prepare an annual delivery plan (template provided) which outlines its goals, budget, timelines, and support needed.
- These plans must include clear deliverables (e.g. attendance targets, revenue goals, volunteer recruitment etc.).
- Updates are provided to the Executive Committee monthly, either in person or via written reports.
- Sub-Committee members may be invited to Executive meetings to discuss items. If they are also club members, they are eligible to vote.
4. How Are Decisions Made?
- Principal and Executive Officers meet monthly to review plans, progress, and make decisions.
- Sub-Committees meet monthly or as needed in the run-up to Executive meetings.
- All voting decisions follow the club constitution — only full club members may vote.
- The AGM is held each July and is chaired by the President. Here, club officers are elected, and strategic direction is confirmed.
5. How Can I Get Involved?
There are three main ways to get involved:
1. Volunteer – Join a Sub-Committee or help with specific activities (fixtures, events, coaching, maintenance)
2. Become a Member – Only members can vote, stand for positions, and fully participate
3. Express Interest – We welcome involvement year-round via our website or directly through current members
Volunteering is flexible and can be tailored to your availability and interest.
6. How Do We Keep Everyone Informed?
- Sub-Committee updates will be published via club magazine, social media, and clubhouse noticeboards.
- Our aim is to create transparency and build broader awareness of all the great work being done behind the scenes.
7. Summary
This structure ensures we work together as ONE CLUB — united in purpose, with clear responsibilities, strong communication, and the ability to adapt and grow.
